Meeting Room Booking System

Industry: Outlook-Exchange Server

Scope:System is an extension of Outlook functionality to provide the facility for creating a request for booking the meeting room/ conference room. Meeting room Booking details is stored in Public Calendar on Exchange Server. During creating a request for meeting, user can add attendees for meeting and select required equipments e.g. projector. System will send an acknowledgment mail to attendees for meeting.

During booking the room, system checks the availability of Booking room and attendees.

A touch screen display at every conference room displays updated information about current and future meetings for the given room. It provides the facility of accepting

A touch screen display is in front of every meeting room to display the booking details. It provides the functionality of accept/ cancel/ prolong meeting and immediate booking.

Features Include
  • System maintains the different room details i.e. Room Type, Room Capacity and attached facility. System allows searching the room during booking based on these criteria.
  • System allows selecting available equipment required for meetings e.g. Projector.
  • System allows checking the availability of attendees for meeting.
  • System sends a mail to attendees for acknowledgement of meeting.
  • A touch screen display allows viewing the details of room i.e. status of room, Booking details etc...
